General Characteristics:
The Office Support Administrator provides general office support with a variety of clerical tasks. This is an entry-level position that requires basic knowledge and provides an opportunity to develop skills, over time, in a specific practice area.
Key Responsibilities:
- Greet incoming guest/vendors and answers phones during normal business hours
- Ensure overall cleanliness of all common office areas
- Communication and coordination of office cleaning service and repair
- Package pickup/delivery
- Sort and distribute incoming mail, prepare outgoing mail and packages
- Order, check in, and distribute general office supplies (coffee, vending, break room, restroom, mailroom, etc.)
- Data entry, copying, printing, binding, and scanning
- Data entry in Vision, a Client Relationship (CRM) database
- Maintain fleet vehicles
- Assist with office vehicle tag renewals
- Office event and party planning/coordination
- Assist with travel arrangements
- Coordinate meetings (meals, venue, audio visual, etc.)
- Assist with agendas, meeting minutes and may attend meetings
- Code, route, and track office expense related invoices
- Drive and champion Garver culture initiatives/Garver Ambassador
- Take initiative for personal and professional growth (i.e., leadership, problem solving, organization, communication, etc.)
- Performs other clerical or administrative duties as needed
- The ability to bend and lift 20 to 30lbs. required
- This is an on-site/in office position
Education/Professional Experience
- High School diploma
- One year of related experience
Communication Skills
- Processes basic oral and written communication skills.
- Interacts with staff, clients, sub-contractors and the public in general
Technical Skills
- Customer Service
- Telephone Etiquette
- Basic Office Equipment (phones, copier, scanner, and binding equipment)
- Typing, General Computer and Data Entry
- Basic Microsoft Office Suite, to include Microsoft Teams
- Ability to learn new software
- Time management, organizational and multi-tasking
